Terms and Conditions for Event Bookings
1. Introduction
These Terms and Conditions apply to all bookings made with Sweet Silent Disco Ltd. By making a booking, you agree to comply with these terms. Please read carefully, as they contain important information regarding your booking.
2. Booking Process
2.1 How to Book
To book a Sweet Silent Disco event, please contact us directly via our website, email, or telephone. Bookings are subject to availability and will only be confirmed once we have received a signed agreement and any applicable deposit.
2.2 Confirmation of Booking
Once your booking is received, we will send you a confirmation email detailing the date, time, location, and any agreed-upon terms. Please review the details carefully and notify us of any discrepancies.
3. Payment Terms
3.1 Payment Process for Care Homes

No Deposit Required: Care homes are not required to pay a deposit at the time of booking.

Invoicing: Sweet Silent Disco Ltd will issue an invoice on the day of the event, covering all services rendered.

Payment Terms: Care homes have 28 days from the date of the event to pay the invoice in full.
3.2 Payment Process for Corporate Events and School Events

Deposit: A non-refundable deposit of 25% of the total event cost is required at the time of booking to secure the date.

Final Payment: The remaining balance must be paid in full 14 days prior to the event date. If the booking is made within 14 days of the event, full payment is due immediately.

Invoicing: An invoice will be sent upon receipt of the deposit and a final invoice once the balance has been paid.
3.3 Payment Process for Kids’ Parties and Private Events

Deposit: A non-refundable deposit of 25% of the total event cost is required to confirm the booking.

Final Payment: The remaining balance is due 7 days prior to the event. For bookings made within 7 days of the event, full payment is due at the time of booking.

Invoicing: An invoice will be sent upon booking confirmation, with payment details for the remaining balance.
3.4 Late Payments
For any overdue payments beyond the agreed terms:

Sweet Silent Disco Ltd reserves the right to charge interest on the outstanding balance at a rate of 4% over UK Base Rate per annum, calculated daily until the payment is received in full.

Continued non-payment may result in cancellation of future bookings until all outstanding balances are settled.
4. Cancellations and Refunds
4.1 Client Cancellations

If you wish to cancel the booking, you must notify us in writing. The following cancellation charges apply:

More than 14 days before the event: Full refund of any amount paid, excluding the non-refundable deposit.

14 days or less before the event: No refund.
4.2 Cancellations by Sweet Silent Disco Ltd
In the unlikely event that we need to cancel your booking due to unforeseen circumstances, we will provide a full refund of all payments made. Sweet Silent Disco Ltd shall not be liable for any additional costs incurred as a result of our cancellation.
5. Event Requirements and Setup
5.1 Space Requirements
The client is responsible for ensuring that the event location meets the necessary space and power requirements. Sweet Silent Disco Ltd requires safe access to an electrical power source for equipment setup and operation.
5.2 Equipment Setup
Our team will arrive approximately 30-60 minutes before the event start time to set up the equipment. We will provide all headsets, transmitters, and any agreed props for the event.
5.3 Equipment Responsibility
While our team manages the setup and operation of all equipment, clients are responsible for ensuring that guests handle the equipment carefully. Any damage to the equipment caused by misuse during the event may incur additional charges.
6. Liability
6.1 Client Responsibility
Clients are responsible for ensuring the safety of their guests. Sweet Silent Disco Ltd is not liable for any injuries, damages, or losses that occur during the event, except where these are caused by negligence on our part.
6.2 Public Liability Insurance
Sweet Silent Disco Ltd holds public liability insurance, which provides cover for claims resulting from our services. However, we encourage clients to consider additional insurance for their specific event needs.
7. Health and Safety

Sweet Silent Disco Ltd adheres to all relevant health and safety regulations. In the case of any hazards, we reserve the right to pause or cancel the event to ensure the safety of all participants.

Clients must inform us in advance of any special requirements or adjustments needed for guests, such as accessibility or mobility accommodations.
8. Photography and Media Consent
By attending a Sweet Silent Disco event, participants consent to being photographed or recorded for marketing purposes, unless they inform us otherwise. Please notify us in advance if any guests do not wish to be included in photos or videos.
9. Privacy and Data Protection
All personal information provided for the booking will be handled in accordance with our Privacy Policy. We will not share your information with third parties except as required to fulfil the event booking.
10. Changes to Terms
Sweet Silent Disco Ltd reserves the right to update or modify these Terms and Conditions at any time. Any changes will be posted on our website and will apply to new bookings made after the date of modification.
